One brain, many doors: adding a second channel without doubling the work

Your customers write where it suits them. Your agent should answer everywhere — from one set of answers you maintain once.

Most owners set up an assistant in one place — a chat box on the website, say — and then a customer messages on WhatsApp and gets silence. The instinct is to build a second bot. Don't. A channel is just a door; the answers behind every door should be the same ones.

Keep a single source of truth: one document with your services, prices, hours, policies and the rule for when a human takes over. Let every channel read from that. Then opening a new door is an afternoon, not a project.

  1. Count where people actually write you. Take the last 50 enquiries and rank the channels. Almost every business has one dominant channel and a long tail.
  2. Write the answers once. One file, plain language, twenty questions at most. That file is your agent's brain, wherever it runs.
  3. Open the second door only. Website chat plus the one messenger your customers already use — not all of them at once.
  4. Route everything into one inbox so you read, reply and take over mid-conversation from a single place.
  5. Keep the handover rule identical on both channels: same trigger, same escalation, same tone.
