Put a ceiling on your AI bill before it surprises you
Most AI bills don't explode because the model is expensive. They explode because nothing stops an agent from looping, rereading huge files, or answering a spam bot at 3 a.m. The fix isn't to use AI less — it's to decide in advance what a month is allowed to cost, and let the system enforce it.
- Set a hard monthly limit in your provider's console. Almost every AI platform has one. Pick a number you'd shrug at if it were hit, not your hopeful average.
- Add alerts at 50% and 80%. An email mid-month is a warning; a surprise at month-end is a lesson.
- Cap each conversation. Limit how many turns or how much text one chat can use. A real customer rarely needs more than ten exchanges; a runaway loop needs thousands.
- Send routine work to the cheaper tier. Sorting, tagging and short replies rarely need the flagship model. Keep the expensive one for the hard cases.
- Review cost per outcome weekly. Not “what did we spend”, but “what did one handled enquiry or one booked call cost”. That number tells you whether to scale up or tighten.
Ten minutes of setup turns AI from an open tab into a fixed line in your budget — which is exactly how every agent I build for clients is configured before it goes live.
